Gibsons & District Library Foundation Society Privacy Statement

This Privacy Statement has been developed in compliance with British Columbia's Personal Information Protection Act (PIPA) and describes the Gibsons & District Library Foundation Society's practices and policies for collecting, using, and disclosing personal information in the course of raising and administering funds to support its projects. It may be updated from time to time to reflect developments in our practices, technology, or in the law. Our website contains the current version of our Privacy Statement.

Commitment to Privacy

At the Gibsons & District Library Foundation Society (the “Foundation”), we are committed to protecting the security, privacy, and confidentiality of the personal information of our donors, prospective donors, members, supporters, users of our website, and others who have contact with our organization offline.

We are also committed to being transparent and accountable. In the course of carrying out activities, events, and operations in support of our programs, we gather and use your personal information only to perform our work. The Foundation carefully protects the personal information that we collect and any use, other than that for which it was collected, will be disclosed and subject to your consent.

Scope

This Privacy Statement addresses personal information about individuals and does not impose limits on the collection, use or disclosure of business contact information and certain publicly available information.

Collection of Personal Information

You do not have to provide any personal information on our website unless you choose to do so.

The Foundation limits its collection of information to that which is reasonable and deemed necessary to provide services and as authorized by law. Our collection of personal information is a necessary part of the Foundation’s relations with its members, donors, and supporters.

Personal information is collected on donation forms, membership application forms, subscriptions to our e-newsletter, and through email, lettermail, telephone, and in-person communications. This information includes but is not limited to the following:

  • email address
  • postal address
  • telephone number
  • credit card information (in processing donations or fundraising purchases).

Consent & Use of Personal Information

Should you choose to share your personal information with us, we will use this information to help us make informed decisions, manage our operations, fundraise, and communicate news and events you might be interested in, as permitted or required by law.

  • responding to your enquiries
  • performing volunteer recruitment activities
  • processing your application for membership
  • processing your donations
  • issuing thank you letters and charitable donation tax receipts
  • facilitating donor recognition
  • issuing fundraising requests

  • meeting legal and regulatory requirements

Data analytics:

We may use your personal information in an anonymized form (so that it no longer identifies you) to perform data analytics in support of:

  • managing and developing our fundraising operations
  • improving the Foundation's programs, services, and communications
  • understanding the engagement of our supporters and membership

If you wish to make a donation in honour of or in memory of an individual, we will not use the information you provide to us on that individual for any other purposes.

Having you make informed decisions about your privacy is important to us and we provide a number of options for you to manage your privacy preferences in the communications and services we provide. Our website (www.gibsonslibraryfoundation.ca) is operated by the Foundation for the benefit of our community members and for those interested in supporting our work. It is free for use by individual web users and no registration is required.

Online donations

Donations made through our website are processed by our third-party vendor, CanadaHelps, a trusted Canadian registered charity that facilitates secure online donations for registered charities in Canada. When you donate to the Gibsons & District Library Foundation Society through CanadaHelps, you will receive an online tax receipt from CanadaHelps to the email address that you provide.

Disclosure of Personal Information

The Foundation will only use or disclose your personal information where necessary to fulfill the purposes identified at the time of collection. We will not use or disclose your personal information for any additional purpose unless we obtain consent to do so.

When we employ other organizations to carry out functions on our behalf, they are required to use personal information only for the purpose of the functions they are providing and only in compliance with privacy laws.

In specific circumstances, we may be permitted or required by applicable law to disclose personal information without consent. In all such cases, we will not share more personal information than is reasonably required to fulfill that legal purpose.

Security and Retention of Personal Information

The Foundation will retain your personal information only as long as is necessary for the fulfillment of those purposes for which it was collected or as required by law, and your consent to such purpose(s) remains valid after termination of our relationship with you.

We are committed to ensuring the security of personal information in order to protect it from unauthorized access, collection, use, disclosure, copying, modification, disposal, or similar risks. To protect its confidentiality, this information is secured in password-protected electronic systems, encrypted documents, and locked filing cabinets accessible only to the Foundation's Board members.

We will use appropriate security measures when destroying personal information, such as deletion of electronic records, shredding of physical documents, or anonymizing data (so the information no longer identifies you).  The Foundation will review and update its security policies and controls as technology changes to ensure ongoing personal information security.

Access to Personal Information

You have a right to access your personal information, subject to limited exceptions. Upon your request, we will inform you of the existence, use, and disclosure of your personal information held by us. Such requests may be made in writing to the e-mail or postal address listed below.

The Foundation will make the requested information available to you within 30 business days, or provide written notice of an extension where additional time is required to fulfill your request. We may be unable to provide access to all information requested if it includes information about third parties or information that cannot be disclosed for legal or security reasons.

You may also request a correction to your personal information in order to ensure its accuracy and completeness. This request must be made in writing and provide sufficient detail to identify the personal information and the correction being sought. The Foundation will correct or amend any information that is shown to be inaccurate or incomplete.
